How to follow up with a customer on WhatsApp

Use context, one clear question and one realistic next step.

Direct answer

Remind the customer what they asked about, add the one detail they need to decide and ask one question that can be answered quickly. Do not send only “Hello?” or “Any update?”

Hi [Name], I’m following up on your inquiry about [product/service]. [Key detail or availability]. Would you like me to reserve it, send the next step or answer a question?

Choose the follow-up that matches the situation

After an inquiry

Hi [Name], checking whether you still need help with [product/service]. We currently have [availability/option]. Would you like the price details or booking step?

After sending a quote

Hi [Name], I wanted to follow up on the quote for [service]. Do you have any questions about the price or scope, or would you like to confirm the next step?

Before a deposit is paid

Hi [Name], your [date/item] is not yet confirmed because the deposit of [amount] is still pending. Please let me know if you want to secure it or release it.

After no reply

Hi [Name], I’m checking once more about [product/service]. If you are no longer interested, that is completely fine—just let me know so I can update my records.

A practical follow-up sequence

  1. First follow-up: remind them of the inquiry and make the next step easy.
  2. Second follow-up: add a useful fact such as availability, deadline or alternative.
  3. Final follow-up: close the loop respectfully and stop chasing unless the customer reopens the conversation.

There is no universal perfect interval. Match timing to the urgency of the booking, stock, quote or payment. Repeated same-day messages can make a routine follow-up feel like pressure.

What not to do on WhatsApp

  • Do not send repeated greetings with no context.
  • Do not guilt the customer for reading without replying.
  • Do not use voice notes when the customer needs to reference amounts, dates or payment details.
  • Do not promise that stock or a date is reserved without the required confirmation.
  • Do not continue promotional messages after a customer asks you to stop.
